Scheduled - Web Services' vendor, Platform.sh will be performing maintenance in the Canada (ca-1.platform.sh) region to release the latest features, bug fixes, and performance updates. All projects and environments will continue to function during the upgrade; however, at one point each project will be reallocated resulting in a short interruption. Integrations and webhooks may fail during the maintenance, and you may notice increased deployment times.

Monitoring - A workaround has been put in place for this issue. This issue only impacts users who are obtaining a MATLAB license for the very first time (existing MathWorks account holders renewing licenses are not affected). Please see the link below to ensure the prerequisites are met before ordering a MATLAB license.

Identified - UBC IT has identified the issue and is working with the vendor on a workaround. Existing MathWorks account holders are not affected and are able to obtain MATLAB licenses.

Investigating - Some users are experiencing issues creating a new MathWorks account, which is required to obtain a MATLAB license. Users experiencing the issue are unable to create the MathWorks account even after using a UBC email address. UBC IT is investigating the issue with the vendor.

Update - Microsoft is aware of this issue and is rolling out a fix that is expected to reach all affected users by Friday, August 4, 2023. Microsoft has promised a progress update on that date. Note that this fix may require an update of the Office Suite.

Identified - We have received confirmation from Microsoft that they recently made changes to the Teams meeting add-in for the Outlook desktop client, which resulted in this issue. They are currently in the process of building and validating a fix. We will provide more details on the deployment date and remediation timeline when we have more information from Microsoft.

Monitoring - Zoom has identified a vulnerability in Zoom Desktop Clients 5.15.0 (Windows/macOS), 5.15.1 (Windows), and certain other products (i.e., iOS, Android, Linux, Zoom Rooms, SDK) - primarily versions 5.15.0. If you are on these versions you will be prompted to update before you can join meetings and these versions will no longer be available for download.

The Applicant & Student Federation workflows in UBC Identity Broker service are currently being implemented as part of the Student IRP Program.

The service will be launched on October 6, 2023.

UBC migrated to the Kaltura Canadian Cloud on May 1st 2023. Some traffic is still directed to the Kaltura service hosted on-premise at UBC and will be transparently redirected to the Kaltura Canadian Cloud. Users will experience an error or media playback will fail when viewing embedded playlists within the UBC hosted Kaltura environment.

On September 27, 2023, UBC IT will be decommissioning UBC’s secondary Virtual Private Network (VPN) service, myvpn2.ubc.ca. This service was initiated in 2020 to accommodate for increased demand of VPN when the University rapidly moved to remote teaching, learning and research due to Covid. With the increased capacity of UBC’s main VPN service (vpn.ubc.ca), and the current situation of UBC operating with in-person classes, myvpn2 is no longer required.

If you are currently using the secondary VPN, myvpn2.ubc.ca, please switch your AnyConnect client to UBC’s main VPN, myvpn.ubc.ca to continue connecting remotely. Instructions on how to connect to UBC’s main VPN can be found at https://it.ubc.ca/services/email-voice-internet/myvpn/how-access-myvpn

There will be interruptions of services during deployment activities.

Please be advised that on Oct 3 , 2023, 08:00 PT to 17:00 PT, Undergraduate Programs and Admissions (UPA) Salesforce pages and Go Global Application portals will be undergoing scheduled maintenance. Duration this time there may not be access for students to create an account, register for an event, submit their information on the Keep in touch form, submit a webform inquiry, or request a guide. The other sections of the UPA site such as Programs, Applying to UBC will not be affected. For Go Global application portal, applicants and partner universities may not be able to login to process Go Global applications.

University Computer Management System (UCMS) Maintenance for Apple devices (Jamf Pro) will be undergoing routine maintenance on October 4, 2023 @ 20:00. During this time Apple devices will not be able to contact the server for updates, however no disruption to use of Apple devices is expected.

Scheduled - On Sunday, September 24, 2023 from 22:00 PT to 23:59 PT, the UBC Office Online Server (OOS) service will be undergoing maintenance. During this maintenance window, Editing and viewing files (e.g. Word, Excel, PowerPoint) in SharePoint and FASmail will only be available in their native application and not in the browser. Users may be asked to authenticate first before accessing their files. Once the change has been completed, files will once again be available via the browser or application.

Investigating - We are receiving reports of issues loading pages and making changes or doing searches within the LTPS User Interface (ltps-ui.lthub.ubc.ca) today, September 14th, 2023. We received similar reports of issues on September 4th and September 7th. We are working with our colleagues in UBC IT as we believe we'll need their help with a network issue that impacts LTPS. We will continue to monitor closely and provide updates as we learn more.
