UBC IT NMC team will be performing network maintenance on Vancouver campus from October 16, 2021, 21:00 PT to October 17, 2021, 06:00 PT. During the upgrade, Internet and campus network connectivity may be affected. The stakeholders for affected networks have been notified in advance.

Planon will be undergoing maintenance on October 17, 2021 between 04.00 - 20.00 PT, in order to deploy additional Purchase Order integrations with Workday. During this time Planon will be unavailable to all users.

UBC IT Enterprise Mailing List Server will be undergoing maintenance on October 20, 2021, 07:00 - 08:00 PT. Users will not be able to access the website (lists.ubc.ca) during the maintenance schedule. Email messages sent to the server will be queued on UBC's mail relay servers and delivered upon completion of the maintenance.

On October 26, 2021 from 17:00 to 19:00 PT, the UBC SharePoint service will be undergoing maintenance to deploy security enhancements.

During this maintenance window, SharePoint sites may not be accessible.

Going forward, an Enhanced CWL (or Multi-Factor Authentication) will be required to access SharePoint sites.

Scheduled - BCNET will be performing hardware replacement at the Kelowna Transit Exchange on Friday October 15, 2021 between 06:00 and 06:30 PT. This change will affect network traffic to the Okanagan Campus. During this time, there will be a brief (less than 1 minute) disruption of internet services and disruption for up to 15 minutes for Research networks.

Scheduled - On October 4, 2021, between 09:00 and 10:00 PT, a 90-day automated data retention schedule will be implemented on a few default transitory folders in FASmail to align with UBC Records Management policies and requirements. Messages stored in the Deleted items, Junk Mail and RSS Subscriptions default transitory folders in Faculty and Staff Email (FASmail) will be automatically deleted after 90 days.

Implementing this automation ensures data is not retained longer than needed, reduces digital clutter and complies with UBC Records Management policies and requirements. This change will affect all staff, faculty and student employees at both UBC Vancouver and UBC Okanagan campuses who use FASmail. This change will not affect users of the UBC Student Email Service and the legacy Student and Alumni Email Service.

Investigating - We would like to inform you that there is an unexpected delay in the provisioning of NVIVO new license keys.

Currently we are working with our partners to speed up the process and hopefully to have the new keys generated by end of today or earlier.

We apologize for the delay and any inconvenience that it might have caused. This message will be updated when a New License key is available.

Update - The vendor has resolved the issue on their end and technicians will be removing the temporary workaround to fully restore service between 17:00 and 18:00 PT. There is no expected impact and all calls currently in progress will not be affected.

Investigating - Phone service to and from the UBC Hospital was impacted on September 29, 2021 between 02:42 and 06:50 PT. Calls within the hospital were unaffected. Technicians worked with the vendor to implement a workaround to restore voice services at 6:50 PT. The team continues to work with the vendor to investigate the root cause of the incident and determine next steps to properly restore service.
