Scheduled - The Applicant & Student Federation workflows in UBC Identity Broker service are currently being implemented as part of the Student IRP Program.

The service will be launched on October 6, 2023.

Monitoring - A workaround has been put in place for this issue. This issue only impacts users who are obtaining a MATLAB license for the very first time (existing MathWorks account holders renewing licenses are not affected). Please see the link below to ensure the prerequisites are met before ordering a MATLAB license.

Investigating - Some users are experiencing issues creating a new MathWorks account, which is required to obtain a MATLAB license. Users experiencing the issue are unable to create the MathWorks account even after using a UBC email address. UBC IT is investigating the issue with the vendor.

Identified - We have received confirmation from Microsoft that they recently made changes to the Teams meeting add-in for the Outlook desktop client, which resulted in this issue. They are currently in the process of building and validating a fix. We will provide more details on the deployment date and remediation timeline when we have more information from Microsoft.

Monitoring - Zoom has identified a vulnerability in Zoom Desktop Clients 5.15.0 (Windows/macOS), 5.15.1 (Windows), and certain other products (i.e., iOS, Android, Linux, Zoom Rooms, SDK) - primarily versions 5.15.0. If you are on these versions you will be prompted to update before you can join meetings and these versions will no longer be available for download.

Scheduled Maintenance
On September 27, 2023, UBC IT will be decommissioning UBC’s secondary Virtual Private Network (VPN) service, myvpn2.ubc.ca. This service was initiated in 2020 to accommodate for increased demand of VPN when the University rapidly moved to remote teaching, learning and research due to Covid. With the increased capacity of UBC’s main VPN service (vpn.ubc.ca), and the current situation of UBC operating with in-person classes, myvpn2 is no longer required.

If you are currently using the secondary VPN, myvpn2.ubc.ca, please switch your AnyConnect client to UBC’s main VPN, myvpn.ubc.ca to continue connecting remotely. Instructions on how to connect to UBC’s main VPN can be found at https://it.ubc.ca/services/email-voice-internet/myvpn/how-access-myvpn

Please be advised that on Oct 3 , 2023, 08:00 PT to 17:00 PT, Undergraduate Programs and Admissions (UPA) Salesforce pages and Go Global Application portals will be undergoing scheduled maintenance. Duration this time there may not be access for students to create an account, register for an event, submit their information on the Keep in touch form, submit a webform inquiry, or request a guide. The other sections of the UPA site such as Programs, Applying to UBC will not be affected. For Go Global application portal, applicants and partner universities may not be able to login to process Go Global applications.

University Computer Management System (UCMS) Maintenance for Apple devices (Jamf Pro) will be undergoing routine maintenance on October 4, 2023 @ 20:00. During this time Apple devices will not be able to contact the server for updates, however no disruption to use of Apple devices is expected.

The Faculty of Medicine, Digital Solutions team will be integrating REDCap with UBC's Identity Broker service to allow users to choose between UBC or PHSA/VCH/PH credentials to log into the REDCap service. No service outages are expected.

Resolved - UBC WeBWorK was unexpectedly unavailable between September 29, 2023, 21:15-23:20 PT. Users were unable to launch WeBWorK from Canvas or to access WeBWorK directly during this window of time. LT Hub technicians were contacted and have resolved the issue. We apologize for any inconvenience caused by this incident.

Resolved - All of the email queues on the UBC Mail Relay are clear as of September 29, 2023 at 6:10pm.

Upon further investigation, it was determined that the email delivery delays were caused by a faulty spam engine update that was pushed down to the UBC Mail Relays by the vendor. This update prevented messages from being processed in a timely manner and this resulted in a very large backlog of queued messages. This was acknowledged by the vendor as affecting their clients globally. Although the issue was corrected by the vendor in the early afternoon, UBC was still left with a very large queue of email messages to process, which ended up taking until 6:10pm to deliver.

Please note that emails sent within FASmail did not experience any delivery delays. The delays only affected emails that were sent to or received from external email addresses.

We would like to update you on the upcoming PHUB read-only/usage freeze scheduled for September 29, 2023 (00:01-23:59), and its implications on hiring activities in Workday. During this period, hiring in Workday will be temporarily paused.

If end users attempt to perform a dupe check action during the read-only period, they will encounter a generic error message. Please note that creating a new error message is not currently feasible, however, we can display a message on the screen so a user will know that maintenance is underway as soon as they navigate to/see the screen.

The generic error page will help communications to HR and FIN and provide a heads-up to the ISC Service Desk.

Note: The maintenance period may conclude earlier than expected, where tools will be made accessible for smoke testing and QA validation.
